ASSUMPTION OF RISK, DECLARATION, WAIVER, INDEMNITY
TERMS & CONDITIONS OF PARTICIPATION, EVENT RULES, CANCELLATIONS & REFUNDS
All participants acknowledge that all events, tours and activities organised and managed by Urban Goat (Pty) Ltd (“the Organiser”) are of an adventurous nature and involve inherent and significant personal risk.
By entering, registering for, or participating in any event, the participant agrees to the terms set out below.
1. ASSUMPTION OF RISK
1.1 I acknowledge that participation in the event involves significant risks, including but not limited to serious injury, trauma, permanent disability, death, loss or damage to property, whether caused by terrain, weather conditions, wildlife, equipment failure, physical exertion, the actions or omissions of other participants, spectators, staff, volunteers, contractors or any third party.
1.2 With full knowledge of these risks, I voluntarily assume all risks associated with my participation, whether foreseeable or unforeseeable, and accept full responsibility for any consequences arising therefrom.

2. REPRESENTATIONS AND WARRANTIES
I represent and warrant that:
2.1 I am physically and mentally fit and medically able to safely participate in the event and have no condition that could endanger myself or others.
2.2 All information provided by me during registration is true and correct, and the Organiser has relied on this information in permitting my participation.
2.3 I understand that this document constitutes a binding legal agreement between myself and the Organiser.
3. CONSENT TO MEDICAL TREATMENT
3.1 In the event of injury, I authorise the Organiser to arrange emergency medical treatment and/or evacuation at my own cost, as deemed reasonably necessary.
3.2 I accept that any injury may be worsened by my actions or by the acts, omissions or negligence of others.
3.3 I confirm that I am responsible for my own medical and ambulance insurance, as well as insurance for my personal belongings and equipment.
3.4 I acknowledge that it is my responsibility to ensure I am medically fit to participate.
4. RELEASE AND DISCHARGE
4.1 I hereby unconditionally release and forever discharge the Organiser, its directors, members, officers, employees, volunteers, agents, contractors, sponsors, venue owners, landowners and any third parties associated with the event from any and all claims, demands, actions, damages, costs or proceedings arising from my participation.
4.2 This release applies to claims arising from personal injury, death, property loss or damage, whether arising directly or indirectly from participation in the event.
5. INDEMNITY
5.1 I hereby indemnify and hold harmless the Organiser and all associated parties against any claims, liabilities, losses, damages, costs or expenses arising out of or in connection with my participation in the event.
5.2 This indemnity includes claims arising from arrival at or departure from the event, attendance at registration or related activities, and loss or damage to bicycles, equipment or personal property, whether caused directly or indirectly by negligence, to the fullest extent permitted by law.
5.3 I waive any right to claim any loss, injury, death, economic or consequential loss whether in contract, delict (tort), statute or otherwise.
5.4 Where liability cannot legally be excluded, such liability shall be limited to the cost of supplying the event again, to the maximum extent permitted by law.
6. TERMS AND CONDITIONS OF PARTICIPATION
6.1 I acknowledge that I am aware of the risks inherent in entering the event venue and participating in the event.
6.2 I voluntarily choose to participate and do so entirely at my own risk.
6.3 I confirm that I have read, understood and agree to these Terms & Conditions.
6.4 Where a participant is a minor, the parent or legal guardian consents to the minor’s participation and agrees to be bound by these terms on behalf of the minor to the extent permitted by law.
6.5 The Organiser may use photographic and video material taken at the event for marketing, promotional and publicity purposes without compensation.
6.6 Event apparel: No refunds or exchanges will be granted for incorrect sizing or fit.
7. EVENT PLANNING, CANCELLATIONS, REFUNDS & SUBSTITUTIONS
7.1 The participant acknowledges that organising an event of this nature involves extensive planning, coordination and financial commitments which cannot be left to the last minute.
7.2 The refund policy is structured around contractual and financial obligations already incurred by the Organiser, including advance payments to suppliers, partners, venue owners, medical personnel, photographers, entertainers, catering staff and assistants.
7.3 Every aspect of the event is meticulously planned and synchronised to ensure a safe and enjoyable experience. Without these essential preparations, personnel and advance payments, the event cannot be conducted safely or successfully.
7.4 Cancellations & Refund Policy (No Exceptions)
7.4.1 All cancellations must be submitted in writing via the official event communication channels.
7.4.2 Refunds are calculated on the original entry fee paid as follows:

7.5 Substitutions
7.5.1 Online substitutions are permitted up to 14 days prior to the event at a cost of R50 per participant.
7.5.2 Late substitutions may be done at on-site registration at a cost of R250 per participant.
7.5.3 Substituted participants will receive the merchandise size selected on the original entry. No size changes will be accommodated.
7.5.4 Entries may not be transferred to a future event or following year under any circumstances.
7.6 Payment Plans
7.6.1 Payment plan entries are refundable only if paid in full at least 90 days prior to the event.
7.6.2 Once paid in full, the standard refund policy applies.
7.6.3 Payment plans not completed in full by the 90-day cut-off are non-refundable.
8. EVENT RULES
8.1 Helmets
Approved helmets are compulsory at all times during cycling events.
8.2 Recommended Equipment
Participants are strongly advised to carry:
8.3 Hydration & Nutrition
Participants are responsible for their own hydration and nutrition. Water and drinks will be supplied at designated water points.
8.4 Medical
The medical team reserves the right to withdraw any participant for safety reasons. Their decision is final.
8.5 Identification
Race numbers must be clearly displayed and may not be altered or obscured.
8.6 Daily Start
Participants are responsible for being on time for all starts.
8.7 Timekeeping
Team time is recorded when the second rider crosses the finish line.
8.8 Stages
The organiser may modify or cancel any stage if necessary. Cancelled stages will be declared non-events.
8.9 Rider Separation
Team riders must ride together at all times.
8.10 Support
Only official race medical support is permitted. No external assistance allowed.
8.11 Teams
If a rider withdraws, the remaining rider may continue solo but will not qualify for prizes.
8.12 Rider Etiquette
Riders must remain on course. Littering will result in disqualification and/or fines.
8.13 Competitions & Prizes
Prizes are not transferable, not redeemable for cash, and winners must be present to collect.
FINAL ACKNOWLEDGEMENT
I confirm that I have read, understood and accept all terms, conditions, rules, waivers, indemnities, refund policies and participation requirements set out above, and that I participate entirely at my own risk.
